OVERVIEW
The Vehicle Record System is designed to help you track expenses
for all of your vehicles. With it you will be able to determine
and analyze costs for any period of time. The VRS can be used to
remind you when to service your vehicles. It will tell you what
maintenance operations need to be done, when they need to be done
and which ones are overdue.
Online help is available anytime you see the word Help on one of
the menus. Use the Up and Down cursors and the PgUp, PgDn, Ctrl-
PgUp and Ctrl-PgDn keys to scroll through the help screens.
A menu bar at the bottom of each screen shows you what functions
can be done in each program. Select a function by pressing the
first letter of the function or by highlighting the function (use
cursor keys to move) and pressing Enter.
NOTE: The VRS tracks vehicles by accumulative odometers or hours
and can be used for cars, motorcycles, private airplanes,
boats, etc.
TERMINOLOGY
All references to measurements, amounts, etc. in the Help screens
will be made in U.S. terms. Cost Per Mile will be referred to as
Cost Per Mile or CPM not Cost Per Kilometer or Cost Per Hour. MPG
means miles, kilometers or hours per gallon depending upon your
measurement system and method of tracking each vehicle.
Vehicle refers to cars, trucks, boats, motorcycles, small aircraft,
etc. VRS refers to the Vehicle Record System Plus.
OPERATING and OWNERSHIP
The logs (F1-F9) are used to record information and costs associat-
ed with your vehicles. Forms can be printed for the Fuel, Maint-
enance Logs to keep in your vehicle. Paid and Maintenance Codes
(up to 15 each) can be defined to track the method of payment and
maintenance categories.
OTHER
The Travel Log can be used to track the number of miles a vehicle
is used. You can keep track of business or personal use by defining
up to 15 Travel Codes. 64 Location Codes can be defined for track-
ing usage by location or area. There are no costs associated with
the Travel Log.
The Travel Expense Log can be used to track travel expenses. Up to
15 Expense Codes can be defined for categorizing expenses. The ex-
pense amounts are not included in the Cost Per Mile report.
Forms can be printed for the Travel and Travel Expense Logs to keep
in your vehicle.
The Maintenance Reminder is used to create and customize mainten-
ance schedules for each vehicle and to log the services that have
been completed. There are no costs associated with it.
The Cost Per Mile report uses the Operating and Ownership costs to
tell you how much the vehicle costs per mile for a specified period
of time.
GETTING AROUND
Whenever you enter or run a log, the last record(s) added will be
displayed. The Browse option will let you look at all records but
will not let you make any changes. Use the Browse to locate an
item that needs to be changed or just to look things over. Use the
Change option to correct errors or to add additional information to
records already added.
When browsing, adding, changing or running reports, you can use the
following keys to move around: Cursor, Home, End, Enter, Ctrl-Home
and Ctrl-END.
SYSTEM
Press SF1 to select another vehicle for use, to add new vehicles,
to delete unused vehicles or to change the description. You can
also access this program by choosing the Select function from any
of the menus.
Press SF3 to change the system defaults. You can configure the VRS
to your system by entering your own headings, codes, colors, etc.
The DRIVE is initially set to C. Be sure to change this if your
hard drive is not C.
Press SF4 to reindex vehicle data files. You should not need to do
this unless a file was corrupted by a power surge or failure or by
some type of disk error. If you delete a large number of records
from a log (something you should not need to do), you may want to
reindex in order to regain a little speed.
MESSAGES/MEMOS/NOTES
The VRS includes a text editor that lets you create several pages
of messages, memos, notes, etc. to supplement log entries. There
are 9 of these areas for EACH vehicle and 1 area for system notes
and messages. The number of pages that can be kept for each log is
determined by the amount of RAM available. If you run out of room,
you may want to print a copy of the memo file and then delete the
entries to start over.
The system messages area (SF2) can be used for letters or notes to
yourself or others about anything pertaining to the VRS. If more
than one person enters vehicle data, they could use this area as a
'bulletin board' for messages to each other. The 9 log areas can be
accessed by selecting Memo from the menus. You can use these areas
for just about anything you can think of. For example, you may want
to use the Travel Log Memo to keep detailed trip records for taxes.
If you want to write a note about a payment, you could enter a date
and then the message. You may want to add the most recent notes to
the top of the file since the top of the memo file is always dis-
played first.
You can also use these areas to create blank forms that can be
printed anytime. Special characters can be used to create boxes,
lines etc. Refer to an ASCII chart for the values and characters.
Hold down the Alt key and enter a numeric value (use the keyboard
numbers) to create these characters. For example, ╔══╗ is: Alt-201,
Alt-205, Alt-205, Alt-187. This can be time consuming so make sure
that your printer can print these symbols.
You can print these memo areas by specifying the line numbers (the
default is all lines).
NOTE: You must save your changes or additions before printing them.
That is, the changes will NOT be saved until you press Ctrl-W
and can not be printed until they are saved.
SELECT
You can select another vehicle from the Main Menu or from within a
log whenever you see the Select option. Press S (or move to Select
and press Enter) if you want to stay in the log but want to use
another vehicle.
QUIT
Use the Quit option to leave a log and return to the Main Menu.
Press Q (or move to Quit and press Enter).
MISCELLANEOUS
The VRS help files have an extension of .hlp and are ASCII files.
You can change or add to these help files by loading them into your
word processing program and saving them as a DOS or ASCII file.
You may want to do this if you need to convert the help screens to
another language or to include something you feel was left out. Do
not try this if you are not familiar with DOS files and commands.
